Organizational Board Meeting

Wednesday, October 7, 2020

I. Call to order

Steve Hunt called to order the regular meeting of the Royal Garden Resort HOA at 5:35 pm on October 7, 2020 at HOA office.

II. Roll call

Debby Scott nominated Wayne Longbrake for RGR HOA President, Neil 2nd, all approved. Shelia Trull nominated Debby Scott for RGR HOA Vice-President, Neil 2nd, all approved. Debby Scott nominated Shelia Trull for RGR HOA Secretary, Neil 2nd, all approved. Wayne Longbrake nominated Rich Singer for RGR HOA Treasure, Debby 2nd, all approved. conducted a roll call. The following persons were present: Wayne Longbrake, Neil Grey, Debby Scott by Zoom, Shelia Trull by Zoom, Rich Singer by Zoom, Steve Hunt.

III. Election of officers

Debby Scott nominated Wayne Longbrake for RGR HOA President, Neil 2nd, all approved. Shelia Trull nominated Debby Scott for RGR HOA Vice-President, Neil 2nd, all approved. Debby Scott nominated Shelia Trull for RGR HOA Secretary, Neil 2nd, all approved. Wayne Longbrake nominated Rich Singer for RGR HOA Treasure, Debby 2nd, all approved.

IV. Lock update

Wayne has a spread sheet of details for the board to look over at the next meeting, it contains information about electronic locks that will use a master key system. According to the Master deed the board has the right to vote on the changes needed.

V. Challenge to Assessment and Bylaws decision

A homeowner has sent a letter to the board challenging the quorum for the Annual meeting and the vote on the elevator project. And has challenged the quorum for the bylaw vote. Shelia Trull stated after the vote ballets were counted at the meeting on Monday September 28, 2020, she contacted the attorney Jay Haar about the quorum needed for it to pass, he failed to respond before the Annual meeting. We are still waiting for conformation from Jay Haar currently. The board discussed the issue of the quorum with the mail in ballets and the in-person meeting on Zoom. For the mail in vote ballets we had 138 returned out of 208 owners, a 66% of homeowners responded. Board decided to ask Jay Haar’s advice on further action.

VI. Meeting dates and time

Everyone is to bring their calendars at the next meeting on Wednesday November 18, 2020 at 5:30pm.

VII. Committees

All committees need to have at least 2 members, one a board member.

Social – Shelia Trull

Maintenance- Neil Grey

Finance- Rich Singer

Locks- Wayne

Tables- asking homeowners

Elevators- asking homeowners

Steel Doors- asking homeowner

VIII. Bank Quotes

Steve Hunt is in the process of compiling the information for the banks and will be contacting several for quotes. He will follow up with the results to the board.

XI. Open issues

Elevator- Rich will take the quote to another elevator company for a quote, and Tim Minard will complete a sturdy with other quotes.

Fire alarm inspection- Wayne moved to accept the quote and go with VSC Fire and Security, all approved.

Neil moved to reconsider the original vote not to publish the minutes on the website, Debby 2nd, all approve.

Shelia moved to publish the Board meeting minutes on the RGR homeowners passworded section of the RGR website, Neil 2nd, all approve.

Steve Hunt adjourned the meeting at 6:35.
